Password management for SMEs: why a password manager is not a luxury

3 November 2026 · 5 min read

Reused passwords are the easiest way in for attackers. This is how you organise password management for your whole team without hassle.

Ask your colleagues how many passwords they have. The answer is usually "too many", followed by a guilty "and they all look alike". That is not laziness, it is human. The problem is that attackers count on exactly that. One leaked webshop password gets tried on your business email, and it often works. Want to close this off for your whole organisation? Then IT security with a solid foundation is the starting point.

Why passwords are the weakest link

Most break-ins at SMEs do not start with a technical hack but with a valid password. It comes from a data breach elsewhere, a phishing email or simply a sticky note. Strong, unique passwords per service solve that, but nobody remembers two hundred of them. That is why "just choose better passwords" always fails in practice.

What a password manager does

A password manager remembers all your passwords, generates a long random password for every service and fills it in automatically. Your colleagues only remember one master password, ideally combined with MFA. For an organisation there is an important extra: shared passwords (from the webshop login to the printer) live in a shared vault with permissions per team. When someone leaves, you revoke access in one go. We use Keeper Password Security for this, because it can be managed centrally and works well with Microsoft 365.

Rolling it out without resistance

  • Start with the management team and the people who share the most (finance, marketing).
  • Import existing passwords from browsers, so nobody starts from scratch.
  • Create a shared folder per team and define who can see what.
  • Set the policy: new accounts only via the vault.
  • Combine with MFA and single sign-on where possible, and passwords largely disappear.

What it costs and delivers

A password manager costs a few euros per user per month. In our Secure Workspace package it is available as an add-on to the security baseline. Compare that with a single incident: a hijacked mailbox quickly costs days of work and an awkward conversation with customers. Across more than 420 SME clients we see the same pattern: password management is the measure with the highest return after MFA.

Not sure whether your organisation has the basics in order? A Security Check shows it in one report.

Frequently asked questions

Good to know

Isn't the password vault itself a risk?

A good password manager encrypts everything on your device with your master password; the vendor cannot access it. Protect the master password with MFA and the risk is many times smaller than reused passwords.

Does a password manager work on phones?

Yes. Keeper works on Windows, Mac, iPhone and Android and auto-fills passwords in apps and browsers.

What does password management cost for a team?

A few euros per user per month. At IT-gemak, Keeper is available as an add-on to the Modern Work packages; see the pricing page.
